Policies and Payment Schedules
GUARANTEE
A guaranteed number of guests is required for all functions no later than three
(3) business days prior to the event, subject only to increase and charged accordingly.
The guaranteed number of guests provided above must not decrease more than 10% from
the original estimated number of guests shown in this contract. In order to accommodate
any last minute attendees all seated events will be given a 5% allowance in food
preparation over the guaranteed number. This 5% overage is not applicable for buffet
meals, hors d’oeuvre receptions, or events of 50 guests or fewer. Should the Client
not provide Tahiti Village Banquet with the timely guarantee, the estimated attendance
on the catering agreement will serve as the guarantee.
LOGO/ADVERTISING
Tahiti Village must approve all forms of advertising or publicity when the Tahiti
Village logo and/or name are used.
PAYMENT
A signed copy of a contract and respective Deposits set forth on The Budget are
due by the date provided on the contract. The Balance amounts set forth on The Budget
will be based upon the guaranteed number of guests, reflecting any modifications
of original proposal, and is due no less than three (3) business days prior to the
event. Should proper payment not be received within the designated time, Tahiti
Village Banquet reserves the right to cancel the function and retain the deposit.
Any additional charges incurred during the event will be paid at the end of the
event via credit card or cash. In the event that additional food, beverage or other
services are provided at the request of the Client, these charges will become due
as set forth on the contract, even though not specifically provided for herein.
Tahiti Village Banquet requires that a credit card authorization form be filled
out, signed and returned five (5) days prior to date of function, to be kept on
file for above mentioned purposes.
FOOD AND BEVERAGE
Tahiti Village Banquet prohibits the bringing in of alcoholic beverages or removal
of food and beverage from the premises by the Client, guest or employees. All prices
quoted are those in effect at the time the contract is signed and may be subject
to increase due to changes in food and beverage, labor or other costs. Client shall
pay such increased charges and shall accept any reasonable substitutions in menu
as determined by Tahiti Village Banquet due to increased costs or lack of availability.
SERVICE CHARGE AND SALES TAX
Service is charged per Tahiti Village Banquet standards and will be presented on
the proposal. Tahiti Village Banquet will charge the applicable State sales and
liquor tax (if any).
DECOR AND ENTERTAINMENT
All decorations, additional lighting and sound systems, event setup and entertainment
proposed by the Client shall be subject to approval by Tahiti Village Banquet. All
deliveries must be coordinated with Tahiti Village Banquet at least 1 week prior
to your event. Equipment and linen rentals through Tahiti Village Banquet are available
upon request.
PARKING
Client understands that Tahiti Village Banquet is not responsible for matters related
to event parking.
SMOKING/USE OF TOBACCO PRODUCTS
Smoking or use of any tobacco products is allowed only in designated area of Tahiti
Village.
CANCELLATION
In the event a function is canceled, Client shall be responsible for and pay Tahiti
Village Banquet the following percentages of the estimated charges as liquidated
damages and cancellation fees:
- A non-refundable deposit equal to the room rental for reserved banquet space is required to confirm the agreement.
- Cancellation policy: Client will be charged 25% of the estimated amount if cancellation occurs 30 or more days prior to the event. Clients will be charged 50% of the estimated charges if cancellation occurs between 29 days and 4 days prior to the event. Clients will be charged 100% of the estimated amount if cancellation occurs 3 or less days prior to the event.
- Deposits made will be included in the 25%, 50% and 100% cancellation policies.
- We reserve the right to relocate your function(s) to another room. We will make every effort to contact you in advance should this be the case. To confirm these arrangements please sign below and return to your catering representative.
Client acknowledges that Tahiti Village Banquet shall incur expenses and post deposits
for Client’s event. Client further acknowledges that it would be impractical or
extremely difficult to fix the actual damages suffered by Tahiti Village Banquet
in the event of a cancellation of the event, and therefore the amount calculated
as set forth above shall be paid to Tahiti Village as liquidated damages and not
as a penalty or forfeiture, and that such amount is reasonable and equitable under
the circumstances. If you cancel and Tahiti Village Banquet is able to rebook the
space and date for a comparable event, then the above cancellation charges shall
be reduced by the revenue from the rebooked event.
Should Tahiti Village Banquet be unable to perform for reasons beyond its control,
then you will be notified as soon as reasonably possible and any advance deposits
shall be returned to you.
LIABILITY
Client agrees to assume responsibility for any damages to Tahiti Village by its
guests, invitees, or employees, for the cost of repairs and/or replacements. Tahiti
Village Banquet will not be responsible for the loss of or damage to any merchandise
or articles left in the Tahiti Village banquet space prior to, during or following
the event. Any charges incurred through damage or loss through an outside vendor
(i.e.: linen, decorations, floral pieces, audio/visual, etc.) that are caused by
Client or its guests, invitees or employees are the sole responsibility of the Client.
In some circumstances, an insurance rider will be required by Tahiti Village Banquet.
Notice of this will be made to the Client.
FORCE MAJEURE
Each party’s performance shall be excused during the period of any “condition of
force majeure.” The term “condition of force majeure” shall mean an unforeseeable
event which is beyond the control of the parties and that makes it impossible or
illegal for such party to perform its obligations hereunder (i.e., such as the closure
or destruction of the facility). In no event shall any weather related condition
causing transportation difficulties be considered a condition of force majeure.
An event cancelled due to a condition of force majeure shall be rescheduled, if
at all possible, as soon as practical once the period of any condition of force
majeure has passed.
CONTROL OF FUNCTION AND ADDITIONAL CHARGES
ahiti Village Banquet reserves the right to inspect and control all private functions.
Client agrees to begin its function at the scheduled time and agrees to have its
guests, invitees and other persons vacate the designated function space at the closing
hour indicated. There will be an additional per hour room rental charge for any
event exceeding the time allotted per this contract. Client further agrees to reimburse
Tahiti Village Banquet for any overtime wage payments or other expenses incurred
by Tahiti Village Banquet because of Client’s failure to comply with these guidelines.
Tahiti Village Banquet reserves the right to refuse to serve, exclude or eject any
and all objectionable guests from the function or premises without liability.
SECURITY
Tahiti Village reserves the right to perform a noninvasive security screening on
all guests upon entry to your event. No knives or firearms are permitted on Tahiti
Village property.
